As a small Bed & Breakfast we have found it necessary to adopt the following policies:
Reservation: All reservations require a credit card (VISA, MasterCard, or Discover) to hold the reservation. We do not process the card at the time of reservation. Reservations are easily made online with our reservation system or by calling us at (800) 421-0082 or (716) 753-7989.
Rates: Rates and policies are subject to change and can vary during high impact periods and for some special events or requests. New York sales tax of 7.5% and a Chautauqua County room tax of 5% plus a service charge of 10% will be applied to all charges.
Minimum stay requirements: Please note there may be a minimum stay requirement for the nights you wish and will be indicated on the reservation calendar.
Reservation confirmation: When you successfully submit a reservation online, we will contact you within 24 hours via e-mail to confirm your reservation. If you do not hear from us within 24 hours please call us at (800) 421-0082 or (716) 753-7989.
Cancellation: If your travel plans change and you must cancel your reservation, we require seven, 7, days advanced notice (fourteen, 14, days during the summer Chautauqua Season) to avoid penalty.
Cancellation requests by e-mail may not reach us in time.
Cancellation with short notice for a one or two night stay may result in billing for the full amount for each room cancelled, unless the room or rooms can be re-booked.
Cancellation with short notice for a three or more night stay may result in billing for half the amount for each room cancelled, unless the room or rooms can be re-booked.
In the event of a no-show or a shortened stay after arrival, the full amount of the reservation will be due.
If your stay included a special stay package please note that some of these may include some arrangement with local vendors, and for which we are liable, the full amount of the package may be due.
Check-in: Rooms are available after 3:00 p.m. Earlier check-in is by prior arrangement only (please call us at (800) 421-0082 or (716) 753-7989) as immediate readiness of your room cannot be guaranteed.
· If you are going to arrive very late or at a time other than that noted at the time of your reservation we kindly ask you telephone ahead on the day of arrival to confirm your specific check-in time.
Check-out: Check-out is at 11:00 a.m. on the day of departure. We ask that you respect this so we may have time to clean and freshen the rooms for the next arriving guests.
Payment: At check-out we can discuss the following options for payment:
Charge the balance due to your VISA, MasterCard, or Discover charge card. Please note that at this time we cannot accept charge cards other than VISA, MasterCard, or Discover. Sorry for any inconvenience.
Dietary requirements: Should you have any special dietary requirements or needs we request you note this at the time of reservation or call us (800) 421-0082 or (716) 753-7989 in advance of you stay so we may best accommodate you.
Children: For safety reasons and for the comfort of our guests, only children age 13 or older can be accommodated. Parents must supervise their children at all times and keep them from running, jumping, and shouting while inside the Inn. Unsupervised children may not be anywhere in the proximity of the farm animals, horses, or dogs. Climbing onto farm equipment, trees or any fencing is not permitted.
Pets: Well-groomed and well behaved small dogs or cats by prior arrangement only, and are limited to certain areas of the Inn only.
No Smoking Environment: The Great Tree Inn is a non-smoking environment.
